Privacy policy

This notice explains the information processed through The Sports Scheduler website and scheduling service.

What we collect

If you contact us, we collect your name, email address, optional organization, schedule type, and message. We also collect limited technical information needed to operate and protect the service.

If you make a schedule, we collect participant and field, court, or rink names, dates, hours, time zone, game settings, and the generated schedule. You do not need an account with The Sports Scheduler to preview or buy one schedule. If you create an account, we also collect your email address, display name, sign-in and session records, and the schedules saved to your private library.

If you use the schedule fairness checker, we collect the CSV, TSV, or rows you paste, the column mapping you confirm, parser diagnostics, and the resulting private fairness report. Those rows may include team, division, field, court, rink, date, and time labels that you supplied.

If you buy a single-schedule unlock or a credit pack, the payment service collects payment details during checkout. We receive the checkout email, amount, payment status, purchased offer, and transaction references. We do not receive your card number or security code.

How we use it

We use contact information to read and reply to your specific request, understand scheduler needs, secure the service, and operate the site. Sending a contact request does not subscribe you to marketing email.

We use schedule information to validate, generate, display, export, secure, save, and delete your schedule and to support incomplete scheduling work you return to. For accounts, we use purchase and credit-ledger records to show and spend the correct credit balance.

We use fairness-checker rows to detect and confirm their columns, calculate observable schedule patterns, let you retry an unfamiliar file shape, provide support during the short private workspace, and improve the parser using separately reviewed, sanitized test cases. Raw customer rows are not kept as permanent test fixtures.

Storage and sharing

Contact requests are available only to authorized product operators and service providers that help us operate and protect the service. We do not sell personal information.

ScheduleCore is the authoritative scheduling service. It receives schedule rules and the team and facility labels needed to preserve the schedule. Your browser reads generated schedule snapshots directly from ScheduleCore using a short-lived capability issued by The Sports Scheduler.

For a fairness check, The Sports Scheduler sends ScheduleCore normalized observed games with coded team and location references that do not include your labels. It does not send the original file. The Sports Scheduler restores your labels when it displays the private report.

The payment provider processes schedule purchases and acts as merchant of record for eligible transactions. Its privacy policy applies to the information it collects during checkout.

Form protection

Public forms use an abuse-prevention service that may process limited network, device, browser, interaction, and IP-address information to distinguish ordinary submissions from automated traffic.

Retention and choices

We retain requests only as long as reasonably needed for the conversation, product research, security, and legal obligations. To ask about access, correction, or deletion, contact form.

Locked schedule previews are kept for at most 90 days. An unlocked schedule is kept for at most one year. You can delete it sooner from its private result page. Limited purchase records may be kept longer for accounting, payment reversals or disputes, support, and legal obligations. Credit purchase and redemption records may outlast the schedules they unlocked so the account balance remains correct.

Access to a fairness-checker source, mapping, diagnostics, and report ends seven days after upload or paste, including when parsing fails. Automatic deletion runs every five minutes after that deadline, and the source-storage lifecycle provides an independent backstop.

You can permanently delete a verified account from its Account page. Deletion immediately removes your account email and name, closes the schedule library, revokes sign-ins and schedule access, deletes private schedule input and ScheduleCore roots, and removes account-linked browser data. Root deletion may continue through safe automatic retries after access has ended. This cannot be undone, and a later signup creates a new unrelated account.

We keep only de-identified transaction, credit, payment-status, security, legal-hold, and deletion evidence needed for accounting, reversals, disputes, fraud prevention, support, and legal obligations. The default retention period for those de-identified financial and audit records is seven years after the later relevant transaction, dispute, or account deletion. A longer legal hold overrides that period. The records are then eligible for reviewed deletion. Contact-form messages are separate from an account; use the contact form if you want those reviewed too.
